Successful event planning hinges on four pillars: stakeholder engagement to keep all key players informed and aligned, service integration to coordinate internal and external providers seamlessly, staffing management to support and empower the team from start to finish, and strategic planning to define goals, actions, and timelines that drive a well-executed event.
Service Integration:
A key part to a successful event is the ability to manage multiple suppliers of event-based services and integrate them; forming an organized committee of key leads. My goal is to make this integration seamless with open communication and making sure all service leads have a place at the event planning table. This includes both internal and external providers, forming an end-to-end plan to meet your event requirements.
Stakeholder Engagement:
Integrating service providers is just the first step. This process involves the review, interaction, and feedback of lead event stakeholders. By involving all individuals and/or departments, we effectively cutback on the “I didn’t know that was happening” moments. Lead Stakeholders are also the influencers, making their knowledge of the plan, and their support, essential in planning a well-organized and successful event.
Staffing Management:
It is no secret; a successful event requires involved and committed staff. Let’s make sure that both your event and the staff involved achieve greatness. It is not enough to just hire the right team, but to ensure that the team hired has the support and foundation needed to succeed. From travel to accommodations, training to equipment, welfare to wrap-up.
Start to Finish Strategic Planning:
Once the lines of communication are set, all can then focus on the most vital part to creating a successful event - strategic planning. Here, I want to address, actively initiate and execute the following questions: What is the goal of the event? What are the actions needed to reach that goal? What is the timeline to fulfill the goals? and... What are the best ways to mobilize and to achieve the goals of your event?
